About the Opportunity

We are seeking to appoint an experienced and qualified Administration Officer to join our small team of professionals. Working in this part-time role, you will provide a range of administration and support services to meet the needs of the office as well as various administrative support requirements of the organisation. To be effective in this role, you must work collaboratively with all staff and members of the management team to carry out professional duties that uphold the values and principles of the organisation. As a not-for-profit organisation you will have access to salary packaging benefits.

Working hours are 9am-5pm 3 Days and the rate of pay is $36.93 per hour.

Tasks and Responsibilities

  • Answer, screen and direct phone and email enquiries. 

  • Oversee office equipment and organise maintenance and repairs in conjunction with Financial Officer where required. 

  • Ensure that office cleanliness is maintained. 

  • General administration duties including photocopying, laminating and binding. 

  • Ad hoc duties related to the position and to the ongoing service needs of the organisation. 

  •  Provide secretarial support to staff and Management Committee. 

  • Prepare meeting agendas and take minutes where required. 

  • Support with workshop, training and event planning including catering where required. 

  • Creation, design and amendments of organisational documents (incl. forms, flyers, brochures, business cards, name tags, certificates, spreadsheets, training material, policies, procedures etc.) 

  • Arrange flight and accommodation bookings where required. 

  • General oversight of Work, Health and Safety to contribute to a safe work environment. 

  • Participate in regular supervision sessions with Program Manager where required. 

  • Entry of data relating to recruitment and exit of carers into QFKC’s SharePoint system. 

  • Working collaboratively alongside assessors in supporting administration tasks relating to the completion of training and assessments. 

  • Completion of minutes of meetings for identified team meetings associated with QFKC programs 

  • Where negotiated and mutually agreed, available to work additional hours to cover the general and organisational responsibilities of the organisation’s administration function during periods of increased workload pressures as required by the organisation. This must be negotiated with and agreed to by the Program Manager and Director of Operations.

What you’ll need

  • Certificate IV in Business Administration or equivalent

  • Minimum 5 years’ experience in similar all-round administrative role

  • Confidence and personable manner when dealing with staff, suppliers and stakeholders

  • Intermediate to advanced computer literacy skills with Outlook, Word, Excel, Publisher, PowerPoint

  • Ability to work with minimal supervision and effectively in a small team environment

  • A high standard of oral and written communication skills

  • Flexibility to adjust to business needs as required

  • High level of attention to detail, organisation, initiative and be comfortable juggling competing tasks

  • Experience with graphic design, creating electronic newsletters and flyers highly desirable

  • Ability to work additional days to cover leave or busy periods highly desirable
